Introduction
To provide frontline support and customer service by carrying out reception and switchboard duties. This includes visitor security controls, receiving and routing of mail and deliveries and providing boardroom assistance to ensure that clients, internal staff and suppliers whom make contact receive a professional service. In addition, provide administrative support and collaborate with team to ensure efficient operation of the Facilities department.
Job description

Switchboard

  • Answer calls and direct to the correct person/department
  • Screen spam callers
  • Obtain adequate knowledge regarding the different departments/business units and staff positions so that calls are correctly routed and accurate information is provided to clients
  • Assist staff with the redirect of both national and international calls
  • Accurate recording and forwarding of messages
  • Provide callers with basic information such as company address, location and other related information
  • Ability to deal and cope with irate customers in a professional manner
  • Update staff details on the Switchboard Portal

 

Reception

  • Receive all guests with the appropriate levels of hospitality and provide a professional, positive and accommodating atmosphere
  • Announce client’s arrival and direct visitors to the appropriate staff members
  • Provide long staying guests with refreshments
  • Assist guests with Wi-Fi password
  • Ability to deal with customer complaints and queries in a professional, tactful and efficient manner
  • Maintain high levels of cleanliness, tidiness and order within the reception area at all times

 

Governance

  • Manage visitor access, by ensuring that security protocols are adhered to
  • Handle distribution of staff parking permits, which is a key governing control for security

 

Meeting Rooms

  • Assist with booking boardrooms and confirming the availability of boardroom bookings

 

Mail & Deliveries

  • Receive, sort and distribute incoming mail/deliveries
  • Manage outgoing mail & packages

 

Admin

  • Manage day to day administrative tasks, Help Desk support and data capturing

Minimum requirements

  • Matric
  • Frontline Reception Training
  • Voice Training would be an advantage
  • Must be proficient in MS Office
  • 5-7 years receptionist/switchboard/administrative experience
  • Must be able to multitask with a high level of accuracy
